Prerequisites Before Starting
To ensure a smooth experience, complete these steps before building a workflow:
Upload contacts to Dubb CRM
Create the videos you plan to use
Set up call-to-action (CTA) buttons
Connect your email provider (Gmail, Outlook, SendGrid, etc.)
Create emails or SMS messages under the Workflows section (not under Campaigns)

Step-by-Step Instructions to Create a Workflow
1. Define the Goal of Your Workflow
Start with clarity. Are you trying to book a meeting? Onboard a new lead? Re-engage a cold contact? This will help determine your email sequence, triggers, and timing.
2. Go to Automation > Workflows
From your Dubb dashboard, navigate to the Automation section and click on Workflows.
3. Create the Emails or SMS to Use
Before you add steps to a workflow, ensure your messages are ready. These can be created under the Emails or SMS tabs within Workflows.
4. Set Up the Workflow
Name your workflow – Example: “3-Day Booking Sequence”
Choose a Trigger Type – Recommended: “Tag Added”
Tags can be added manually, on import, or via Zapier.
You can also trigger based on video views, page views, or CTA clicks.
Tip: Using "Tag Added" gives you the most control and flexibility.
5. Add a Delay Step (Recommended)
Insert a short delay (e.g., 1 hour or 1 day) before the first message is sent. This prevents immediate emails and ensures recipients receive them at a strategic time.
6. Send the First Email
Choose from your pre-written emails. You can also personalize with dynamic video and CTA.
7. Insert Logic with “If/Then” Branches
This lets you build smart workflows:
IF a recipient clicks the CTA (e.g., “Book a Call”), THEN remove the tag and stop the sequence.
ELSE send the next follow-up email with a different message or video.
8. Set Workflow Preferences
Enable: “Only trigger this once” to avoid sending the same sequence twice to the same contact.
Agree to Terms of Service to proceed.
9. Launch Your Workflow
After building your sequence:
Click Turn On Workflow
Add the appropriate tag to a contact (manually, by import, or via Zapier)
The workflow will begin automatically
Managing and Monitoring Your Workflow
Go to Automation > View Results to:
Track contacts in the workflow
Manually stop contacts
Filter by workflow step
Search for specific contacts
