Step-by-Step Guide: Creating Email Notifications in Dubb Automation Workflows

Here's a quick video:

Step 1: Create a New Workflow

  1. Log into your Dubb account.

  2. Navigate to the Automation section from the left-hand menu.

  3. Click “Create Workflow.”

  4. Enter a name for your workflow to help you identify its purpose later (e.g., Video Engagement Notification).



Step 2: Choose Your Trigger

This is the event that activates your workflow.

  • You can choose one of the following trigger types:

    • Tag Added: When a tag is applied to a contact.

    • CTA Clicked: When a contact clicks a call-to-action.

    • Video Watched: When a video is viewed.

    • Page Viewed: When a landing page is accessed.

Example:
To trigger a notification when a lead is tagged as "Interested", select:

  • Trigger Type: Tag Added

  • Condition: Includes any of

  • Select Tag(s): Interested

Click “Save & Continue.”


Step 3: Set Up the Email Notification

  1. Under “Add Action”, choose “Send Notification via Email.”

  2. Customize the following fields:

    • From Name: This identifies the sender of the notification (e.g., Dubb Notifications).

    • Subject Line: Create a clear subject, such as New Engagement Alert – {{first_name}} viewed your video!

    • Email Body: Use dynamic fields to include information about the contact, such as:

      • {{first_name}}

      • {{last_name}}

      • {{email}}

      • {{mobile}}

      • {{video_title}} (if applicable)

    • Example:

      cssCopyEditNew Video Engagement! Contact Info: Name: {{first_name}} {{last_name}} Email: {{email}} Mobile: {{mobile}} Action: Watched {{video_title}} or Clicked {{cta_text}}

  3. Click “Save.”


Step 4: Define Workflow Frequency

  • Decide if the workflow should trigger:

    • Only Once: Ideal for lead generation or alerts.

    • Multiple Times: Suitable for ongoing engagement tracking.

  • Toggle the switch accordingly during setup.


Step 5: Finalize and Activate the Workflow

  1. Review your workflow settings and email notification details.

  2. Click “Submit.”

  3. Toggle the workflow ON using the switch.

  4. Click “Save.”

Your email notification workflow is now live and will alert you automatically whenever your defined conditions are met.


Editing or Updating an Existing Workflow

  1. Navigate to the Automation tab.

  2. Select the workflow you want to edit.

  3. Click “Edit” on the trigger or email action.

  4. Make necessary updates (e.g., change tags, subject line, or body content).


  5. Save and relaunch the workflow by toggling it on again.​
